TERMS & CONDITIONS

By hiring Letter & Vine or placing an order, you agree to the following terms & conditions.

THE PROCESS

The process will vary depending on the nature of the project, but the general work flow is:

  1. Contact Letter & Vine for availability and a price quote

  2. Define the project specifications

  3. Letter & Vine provides an invoice, specifying production due dates and target completion date

  4. The client provides *proofread* lists & information, payment/deposit, and approval

  5. Production commences

AVAILABILITY

Letter & Vine calligraphy services are offered on a first-come, first-served basis. Occasionally I may become fully booked, and will be unable to accept new projects. This can happen especially during peak wedding or holiday seasons. With this in mind, I recommend placing your order as early as possible. A deposit will secure your place on my production schedule.

LEAD TIME

The amount of time required to complete a project will depend on the size & complexity of the project. All invoices will include a target completion date.

As a general estimate, hand-written and hand-made items require a minimum of 2 weeks to create. For printed items, after receiving approval on the final proof, the average printing time frame is 3-5 weeks.

Additional time may also be required for:

  • sending proofs and receiving client feedback

  • specially ordered supplies or added embellishments

  • shipping

Please note that additional revisions or delays in feedback may delay the completion of your order.

PROOFREADING

Please double & triple check all lists before sending them to be calligraphed. The client is responsible for ensuring all information provided is correct before production begins. If errors are found on the list after production has begun, additional calligraphy & shipping charges will apply for corrections.

Although I thoroughly check all hand-written items before shipping, it is possible that errors may occasionally occur. If you notice a spelling mistake, please contact me immediately and I will send a corrected piece as soon as possible. 

PROOFS & APPROVALS

Occasionally, some projects will require a proofing process. The client will be required to review the proof and provide either approval or feedback for revisions. The client is responsible to check and approve all information provided on the proof before production begins, including: spelling, names, dates, addresses, colours, paper type, layouts, sizing, materials, etc. 

 

Each project is allowed a certain number of revisions, specified in the project brief.

 

Please review all details of your order carefully, paying particular attention to spelling and small details. Once final approval is given for a design, the project will go into production and it may no longer be possible to make changes without incurring additional charges for reprints or remakes. Should an error be found after an item has been approved and created, Letter & Vine will not be obligated to provide a refund, exchange, or credit.

Please contact me immediately if you notice any mistakes to the proof/list after you have placed your order.

Delays in receiving client approvals, as well as delays in receiving lists and deposits, will delay the production time. This can delay the completion of your order, and possibly result in a rush fee and/or expedited shipping if the items must be rushed to meet a specific date.

PERFECTLY IMPERFECT

All of my work is created by hand with great care. With the hand-made process in mind, it is expected that there will be variations and imperfections. The beauty of hand-made work lies in the nature of these variations. 

If you have any concerns, please request a sample. I can email images of test samples, or mail the sample directly to you if time allows (client is responsible for paid postage and supplies). Please also feel free to browse images of my past work.

COLOURS

While I do my best to portray colours in proofs as accurately as possible, please be aware that colours viewed on a screen may appear different than colours in person. The colour you see will depend on your particular screen or device. Colour may vary in printing.

PAYMENTS

Letter & Vine accepts payments by bank transfer or PayPal. The client will be responsible for PayPal fees if PayPal is used. 

 

Price quotes and invoices are provided in Euros and BTW is added at the prevailing rate in the Netherlands for all EU clients. EU Businesses outside of the Netherlands should provide their VAT number for reverse tax.

Depending on the individual project, a deposit of 50% is required for orders over €200,00. This secures your booking on my production calendar and begins the production process. The finished product will be delivered after the remaining balance has been made. 

 

Payment in full is requested at the time of booking for orders less than €200,00, and for all orders with 3 weeks or less until the completion date.

Final payment must be received before the finished product will be delivered.

SHIPPING

Purchases are delivered using Post NL, FedEx or DHL. All shipments will include a tracking number.

International orders may be charged an import tax, and any tariffs incurred are the responsibility of the client. 

I recommend placing and approving your order as early as possible to allow sufficient time for shipping. For orders outside of the Netherlands, please allow additional time for your order to pass through customs. Once an item has shipped, I no longer have control over the shipment. Letter & Vine is not responsible for loss, delays, or damages incurred during shipping.

 

Clients located in or around Amsterdam are welcome to deliver and collect items in person at a prearranged time and place.

CANCELLATIONS & MODIFICATIONS

Cancellations can be made within the cancellation period outlined in your invoice. Cancellations can be made without loss of deposit as long as the cancellation is made before the design process/production begins and before materials have been ordered. Once production commences, or once the specified cancellation period has past, no refund or a partial refund may apply on a case-by-case basis. 

 

Modifications to your order can also be made before production begins. Please notify me as soon as possible if you notice that you need to modify or correct your order (for example, if you need to make a correction to your guest list) and highlight the changes made. 

 

If you notice you need to make a correction after Letter & Vine has created the item, the correction will count as a new item and will be added to the invoice accordingly. 

If you notice an error after you have received your order and the error was originally provided by the client or approved by the client, the costs of rewriting and shipping must be covered by the client.

REFUNDS

At Letter & Vine, I put my heart into my work and I hold the products I create to a very high standard. I do my utmost to ensure that artwork of the highest quality is provided to the client.

There is the expectation of variations when each product is written, painted, or cut by hand due to the nature of hand-made work. 

As detailed above, cancellations and modifications can be made before production begins. Once production commences, or once the specified cancellation period has past, no refund or a partial refund may apply on a case-by-case basis. 

 

Due to the custom & personalised nature of the products, refunds will not be possible after the projects have been completed, but I will do everything in my power to ensure you are happy with your purchase. In the event you are not satisfied, please contact me within 7 days of receiving the item.

COPYRIGHT

All designs, artwork, and photographs are copyright of Stephanie Jiosi / Letter and Vine, unless otherwise noted. 

 

Artwork, images, lettering, sketches, design concepts, mock-ups, and all other work created by Letter and Vine remain my intellectual property, unless otherwise previously agreed in a written contract. Images & designs may not be reproduced in any form without my prior written permission, or without written agreement.

 

The intellectual property of Letter and Vine, including concept sketches and design mock-ups, will not be taken to other artists or design studios to recreate without a written agreement for collaboration. 

Any artwork, images, designs, or concepts designed by Letter & Vine for a client's personal use should not then be resold or used for commercial use. 

Should images that feature the work of Letter & Vine be published, either in printed publications or online, then Letter & Vine should be properly credited and notified.

PRIVACY

Letter & Vine only uses personal information provided by website contact forms or direct message on social media for correspondence and completion of orders. Client contact information will never be shared or sold to third party marketing.

 

By accessing Letter & Vine's website, blog, or services, or by contacting Letter & Vine via contact form or directly via email, you consent to the collection and use of information provided in accordance with Letter & Vine's Privacy Policy.

Letter & Vine may occasionally share images of projects on social media, or upload images of projects on the web in an online portfolio. Any personally identifiable information of individual clients or client's guests will be protected and censored by way of partial view or photoshop alteration.
